Rent is the heartbeat of a lettings business. When it arrives on time, landlords get paid, statements balance and nobody has to make awkward calls. When it doesn't, the cost spreads: the landlord waits, the tenant falls further behind, and your office spends hours chasing. This playbook covers the whole routine, from building a rent schedule to recording payments, chasing arrears in stages, and the legal notice rules in the US, UK and UAE. It's written for letting agents, property managers and anyone whose real job title is "rent manager".
Why a rent routine matters
Most tenants pay. In England's 2024 survey of private landlords, four in five landlords (80%) said they'd had no tenants in arrears in the past two years.1 Turn that around and one landlord in five dealt with arrears over two years. Across a managed portfolio of hundreds of homes, that becomes a weekly workload.
The aim is a routine that treats every tenant the same way, catches problems early, and leaves a clean paper trail if a case ever reaches a formal notice. Good rental management software helps, but the routine comes first. These three numbers show how much the formal stage differs between markets:
How a rent schedule is built
A rent schedule is the list of every charge a tenant should pay, each with its own due date and amount. Get it right and everything downstream works: reminders, arrears, reports and landlord statements. Get it wrong and you'll spend months correcting balances.
Start with the yearly rent
Work out the yearly rent first, then divide it by the number of payments. This avoids the most common mistake: turning weekly rent into monthly rent by multiplying by four. £300 a week is £15,600 a year (× 52), which is £1,300 a month, not £1,200.
| Frequency | Payments a year | Due dates | Example |
|---|---|---|---|
| Weekly | 52 | Same weekday each week | £300 a week = £15,600 a year |
| Monthly | 12 | Same day each month | $1,800 a month = $21,600 a year |
| Quarterly | 4 | Every 3 months | £3,900 a quarter = £15,600 a year |
| Cheques (UAE) | 1, 2, 4, 6 or 12 | Spread through the contract year | AED 120,000 a year in 4 cheques = AED 30,000 every 3 months |
Deal with rounding once
When the yearly rent doesn't divide evenly, put the rounding difference on one charge, usually the last of the year, so the year adds up exactly. For example, 1,000 a year paid monthly becomes eleven charges of 83.33 and one of 83.37.
Pro-rata first and last periods
Many managers want rent due on the 1st of each month, even when a tenant moves in mid-month. The first charge is then pro-rated by days: monthly rent × days occupied ÷ days in that month. A $1,800 rent with a move-in on 20 June (a 30-day month) gives a first charge of $1,800 × 11 ÷ 30 = $660, then $1,800 from 1 July.
The other approach is to make rent due on the move-in date every month. There's no odd first charge and nothing to explain. Either works; pick one and put it in the agreement. The same pro-rata sum applies when a tenancy ends part-way through a period.
Recording payments and allocating them
Record every payment the day it arrives: amount, date, method and reference. Then apply it to charges in a fixed order. The common rule, and the one that keeps arrears clean, is oldest charge first. Here's how one part payment works out:
| Charge | Amount | After a 2,000 payment on 10 March |
|---|---|---|
| January rent | 1,200 | Paid |
| February rent | 1,200 | Part paid: 800 paid, 400 still owed |
| March rent (due 1 March) | 1,200 | Due: 1,200 owed |
| Balance | 3,600 | 1,600 owed; the oldest part dates from February |
Why oldest first? The arrears always sit in the most recent unpaid months, which is how aged-debt reports count them, and no payment "skips" an old debt.
Part payments, overpayments and bounced cheques
- Part payment: record exactly what arrived. The charge shows as part paid, and the rest stays in arrears.
- Overpayment: keep the extra as credit against the next charges, and tell the tenant.
- Bounced cheque or reversed transfer: don't delete the payment. Void it so the record shows what happened, then re-apply the other payments.
- Cash: always give a receipt. In New York, landlords must give a written receipt when rent is paid in cash, and also by money order or cashier's check.2
Keep the deposit out of it. Using the deposit to cover rent during the tenancy hides real arrears, and in many places the deposit isn't yours to use until the tenancy ends.
An arrears process in stages
A good arrears process is calm, early and the same for everyone. Many arrears start as a simple mistake, like a late salary or a new bank account, and a friendly message in the first days fixes most of them. The stages below are good practice, not law; formal notices follow local rules, covered next.
- 3 days beforeFriendly reminder of the amount and the due date
- Day 1Check your records, then send a neutral missed-payment message
- Days 3–5Phone call: ask what happened and agree a payment date
- Day 7Written reminder; offer a payment plan if the tenant needs one
- Day 14Formal letter; tell the landlord and any guarantor
- Days 21–30Final letter before notice; agree next steps with the landlord
- Formal noticeOnly on the right form, at the right time, under local law
If you agree a payment plan, put it in writing: the extra amount on top of normal rent, the dates, and when you'll review it. Small, regular amounts the tenant can keep up beat a large promise that fails in month two.
If you manage for a landlord, tell them early. Hearing about arrears at day 7, with a plan in place, beats finding out from a month-end statement.
Message templates: tone and timing
Match the tone to the stage. Early messages assume an honest mistake; later ones are firm and factual. Never threaten something you can't legally do.
| Stage | When | Channel | Tone | Example wording |
|---|---|---|---|---|
| Reminder | 3 days before due | Email, SMS or WhatsApp | Friendly | "Hi Sam, a reminder that rent of £1,300 for 12 Park Road is due on Friday. Thank you!" |
| Missed payment | Day 1 | Email or message | Neutral | "We haven't received this month's rent of £1,300, due yesterday. If you've already paid, please send us the reference." |
| Check-in | Days 3–5 | Phone, then a note on file | Helpful | "Is everything OK? If something has changed, let's agree a date or a plan now." |
| Written reminder | Day 7 | Email or letter | Clear | "Your account shows £1,300 overdue. Please pay by [date] or call us to agree a plan." |
| Formal letter | Day 14 | Letter and email | Firm, factual | "Rent of £1,300 is 14 days overdue. Please contact us by [date] so we can avoid further steps." |
| Final letter | Days 21–30 | Letter | Formal | "This is our final letter before we consider formal action under the rules that apply to your tenancy. Please contact us by [date]." |
Legal notice rules in the UK, US and UAE
The formal stage is where markets differ most. These are examples, not a full guide, and each has conditions we can't cover here.
England
- Ground 8 (mandatory): since 1 May 2026, the tenant must owe at least 3 months' rent (13 weeks if rent is paid weekly or fortnightly) both when you serve notice and at the hearing, and you must give 4 weeks' notice before applying to court.4 Before 1 May 2026 the threshold was 2 months (8 weeks for weekly rent) with 2 weeks' notice.5
- Grounds 10 and 11 (discretionary): Ground 10 covers any rent owed and Ground 11 covers repeated late payment. The court only orders possession if it thinks that's reasonable, and both need 4 weeks' notice.4
- Universal Credit: rent unpaid only because a Universal Credit housing payment hasn't arrived yet isn't counted for Ground 8.4 If a tenant on Universal Credit owes 2 months' rent or more, you can ask for a managed payment (rent paid straight to you) or a rent arrears deduction through the Apply for a Direct Rent Payment service.7
- The form: notice is given on form 3A, and the government says you can try to resolve disputes with the tenant before you try to evict.6
- Late charges: a default fee must be in the tenancy agreement, rent must be at least 2 weeks overdue, and the most you can charge is interest at 3% above the Bank of England base rate.3
Wales, Scotland and Northern Ireland have their own rules.
United States
Each state sets its own process, and some cities add more. Three examples:
- California: a 3-day notice to pay rent or quit. The 3 days don't include Saturdays, Sundays or court holidays, and the notice can only ask for rent, not late fees, utilities or damages. Some cities and counties require more detail.8
- New York: a 14-day written rent demand before going to court. A payment only counts as late if it arrives more than five days after the due date, and the late fee is capped at $50 or 5% of the monthly rent, whichever is less.2
- Florida: a written demand giving the tenant 3 days, excluding Saturday, Sunday and legal holidays, to pay the rent or give up the home.9
United Arab Emirates (Dubai)
Under Dubai's tenancy law, a landlord can seek eviction during the contract if the tenant fails to pay the rent, or any part of it, within 30 days of being served notice.10 The Dubai Land Department says the notice goes through a notary public or by registered mail, with a payment deadline of no less than 30 days, and that rental disputes go to the Rental Disputes Center.11
| Market | Formal step for unpaid rent | Time given |
|---|---|---|
| England (Ground 8) | Form 3A notice; 3 months' arrears at notice and hearing | 4 weeks before applying to court4 |
| California | 3-day notice to pay rent or quit, rent only | 3 days, not counting weekends or court holidays8 |
| New York | Written rent demand | 14 days2 |
| Florida | Written demand for rent or possession | 3 days, excluding weekends and legal holidays9 |
| Dubai | Notice by notary public or registered mail | At least 30 days to pay11 |
The numbers to watch
These six numbers tell you whether rent collection is getting better or worse, and where to look first.
- Arrears rate: overdue rent ÷ rent due in the period. The headline number.
- Collection rate: rent received this month ÷ rent due this month.
- Tenancies in arrears: how many, and what share of the total.
- Days late: the average, and the oldest unpaid charge.
- Aged debt: arrears split into 1–30, 31–60, 61–90 and over 90 days. Old debt is the hardest to recover.
- Repeat late payers: tenants who were late three months running need a conversation, not another reminder.
Use the calculator below to see your arrears rate and a rough yearly cost of late rent: the time spent chasing, plus the cost of waiting for money you're owed.

Watch the trend more than any single month. A rate that creeps up three months running means something changed, such as one large tenancy in trouble or a reminder that stopped going out.
Preventing arrears before they start
The cheapest arrears are the ones that never happen. Most prevention happens before the tenant moves in.
- Check affordability. Ask for references and proof of income, with the applicant's consent, and speak to a previous landlord where you can.
- Match the due date to pay day. A tenant paid on the 25th will struggle with rent due on the 20th. Moving the due date costs you nothing.
- Make paying easy. Give bank details and the payment reference in writing at move-in, and encourage a standing order or automatic payment from the tenant's own bank.
- Remind before, not after. A short message a few days before each due date prevents many "I forgot" arrears.
- Use deposits and guarantors well. In England, the deposit is capped at 5 weeks' rent when the yearly rent is below £50,000, and you can ask for at most 1 month's rent before the tenancy starts.3 For a higher-risk let, a guarantor is often a better safeguard than asking for more money up front.
- Let tenants see their balance. Tenants who can check what they owe at any time argue less and pay sooner.
Putting it together with rental management software
A spreadsheet can track rent for a handful of homes. Past that, you need rental property management software that builds schedules, applies payments the same way every time, sends reminders on its own and shows arrears by age. That's what Kelo's lettings tools are built around.
- Each tenancy has a Balance card: arrears with the days the oldest charge is overdue, credit paid in advance, total rent paid and the next charge due.
- The Rent collection report shows rent due each month and how much was paid. Aged debts splits overdue rent into 1–30, 31–60, 61–90 and over 90 days. Both download as CSV.
- Landlord statements show rent received, management fees, costs charged to the landlord and the net to pay out, and you record the payout against the statement.
- The tenant portal shows each tenant their rent schedule, balance and next payment. The landlord portal shows rent received and final statements.
One thing to be clear on: Kelo is not a payment processor. It doesn't take card payments or move money. Tenants pay the way you agree, and you record each payment in Kelo, which then works out the rest.
Questions people ask
How should part payments of rent be allocated?
Most managers apply each payment to the oldest unpaid charge first. That keeps the arrears showing as the most recent months, which is how aged-debt reports and most notices count them. Whatever rule you use, write it down and apply it every time.
When should I start chasing late rent?
Start before it is late: a friendly reminder a few days before the due date prevents many arrears. Then send a neutral message the day after a missed payment and call within the first week. Formal notices come later and must follow your local law.
What is a good arrears rate?
There is no single benchmark that fits every market and portfolio. Measure overdue rent as a share of rent due each month, track it over time, and look at the age of the debt as well as the total.
Can I charge a late fee on rent?
It depends on where the home is. In England a default fee must be in the tenancy agreement, rent must be at least 2 weeks overdue, and interest is capped at 3% above the Bank of England base rate. In New York the fee is capped at $50 or 5% of the monthly rent, whichever is less, and only after rent is more than five days late.
Does Kelo collect rent from tenants?
No. Kelo records rent payments and works out arrears, credit and landlord statements, but it does not take card payments or move money. Tenants keep paying the way you agree, such as by bank transfer or cheque, and you record each payment in Kelo.
